Front Desk Receptionist & Office Coordinator

Busy tax and accounting office is looking for a Receptionist to manage our front desk on a daily basis and to coordinate a variety of administrative and clerical tasks. You will schedule tax preparation appointments and welcome clients for in-person meetings. During the tax season (January through April) your focus will be front-desk activities, including answering and redirecting phone calls. During the rest of the year you will provide administrative support to the other team members, assist with internal bookkeeping, and possibly provide basic bookeeping services to our clients. To be successful as a Receptionist, you should have a pleasant personality, as this is a customer service role. As Office Coordinator you will ensure there are adequate office and hospitality supplies in addition to other tasks.

Office hours during the tax season are Monday through Friday 8 am to 6 pm and Saturdays 9 am to 1 pm. During those 13 weeks you must be able to work at least 48 hours weekly, including Saturday. Office hours for the rest of the year are Monday through Thursday 9 am to 4 pm. The office is closed on Fridays and working hours are reduced to 28 to 30 hours weekly.

Responsibilities

  • Greet and welcome clients as soon as they arrive at the office
  • Answer, screen and forward incoming phone calls
  • Update Outlook calendars and schedule meetings
  • Ensure reception & waiting areas are tidy and presentable
  • Provide basic and accurate information in-person and via phone/email
  • Receive and distribute daily mail & tax documents provided by clients
  • Order office supplies and keep inventory of stock
  • Receive payments via check, credit card, and cash from clients
  • Perform other clerical receptionist duties such as filing & scanning

Skills

  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Proficiency in Microsoft Office Suite - especially Outlook
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Professional attitude and appearance
  • Ability to be resourceful and proactive when issues arise
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude
  • High school degree; additional certification in Office Management is a plus

Job Type: Full-time

Pay: $18.00 - $22.00 per hour

Expected hours: 28 – 48 per week
